  • “Arrangements” encompasses the services booked through us, including activities, events, transport, accommodation, meals, and other related services.
  • “Lead Booker” or “Organiser” is the person who makes and manages the booking on behalf of the group and acts as the primary contact with our team.
  • “Invitee” or “Guests” are individuals invited to participate in the arrangements by the Lead Organiser.
  • “Packages” include any combination of accommodation and other services.
  • “Activities” refer to standalone services without the inclusion of accommodation or transport.
  • “Event” describes any arrangement made by us, including a combination of activities, staff, packages, and event management.
  • “Client Area” or “My Events” is the dedicated customer login portal accessible through our website.
  • “Force Majeure” includes any unforeseen events beyond the reasonable control of either us or our suppliers, such as natural disasters, terrorism, war, or industrial disputes that prevent the fulfilment of contractual obligations.
  • “In Writing” covers communication methods such as email, facsimile, or physical letter.


By accessing our website, contacting us, or making a booking, you agree to the use of your information as stated in our privacy policy.

Booking Process

To secure a booking with SBS, a non-refundable deposit is required as specified by your event organiser. Placing this deposit constitutes acceptance of these terms on behalf of all members of your party. A formal contract is established when we acknowledge your booking in writing. We will presume all participants are at least 18 years old unless notified within 24 hours of our acceptance of your booking. Failing to contest the terms in writing within this time frame means you accept the contract as stated. These terms and conditions, along with any provided information, constitute the entire agreement between you and SBS. Note that bookings made via telephone or email imply acceptance of these terms.

Payment and Pricing Policy

Payment Terms

All our prices are quoted in British Pounds (£) and include VAT. Here’s how our payment process works:

  • Deposits: For bookings made more than 28 days before the event date, you must pay a non-refundable deposit as specified by your event organiser.
  • Balance Payments: The remaining balance for activity-only bookings must be settled at least 28 days prior to the event. The same applies for package bookings, where the full balance is due no later than 28 days before the event starts.
  • Late Bookings: If you book within 28 days of the event, the total amount becomes immediately due, and the payment is non-refundable. Unless otherwise agreed upon by Spartacus Bubble Soccer (SBS)*.
  • Group Size: The minimum group size is 8 participants. Prices may increase per person if the number falls below this, unless otherwise arranged with your event organiser.

Failure to comply with these payment terms may result in the cancellation of your booking, with the deposit forfeited.

Payment Methods:

You can settle your payments using a credit or debit card, bank transfer, or cash. We do not charge any fees for payments made by bank transfer or cash.

Pricing Adjustments:

The prices provided at the time of your enquiry are accurate to the best of our knowledge. However, prices are subject to change due to unforeseen circumstances before your booking is confirmed. We will notify you of any price changes or errors as soon as they are recognized. Once your booking is confirmed via email, the price is fixed, subject to the terms outlined here.

Price Guarantee:

Once your arrangements are confirmed, the quoted price is guaranteed unless there are changes in VAT or other governmental actions that impose additional costs.

Changes in Arrangements:

Spartacus Bubble Soccer reserves the right to modify any arrangements or prices as necessary until a booking agreement is finalised with you. Changes will be communicated in writing and will only be made in accordance with our commitment to providing you with the best possible experience.

This policy ensures transparency and fairness in our pricing and payment processes, allowing you to plan your event with confidence.

Client Area Terms and Conditions

Event Deposit for Lead Organiser

To secure a booking, organisers are required to pay a non-refundable event deposit, the amount of which will be communicated at the time of booking. This deposit confirms your event, and the deadline for paying the full balance will be specified when you book.

Balance Payments

Full payment for all packages and activities must be completed at least 28 days prior to the event’s start date, unless your event organiser specifies otherwise. Failure to complete payment by the designated deadline will result in the automatic cancellation of the booking, and any deposits or payments made will be forfeited.


We reserve the right to cancel any event if the full balance is not paid by the specified date, and we will retain any deposits and payments made up to that point.

Late Bookings

For bookings made within 28 days of the event, the total amount is due immediately at the time of booking. In these instances, the standard deposit arrangement does not apply. 

Card Charges & Payment Validation

We do not impose charges for payments made by debit card. Payment validation occurs once funds have cleared into our account.

We strive for accuracy in all descriptions provided on our website and in quotes; however, occasional errors can occur. We accept no liability for such errors except in cases of negligence on our part or by our employees during their employment. We reserve the right to update or correct information at any time without prior notice. All images are for illustrative purposes and may not represent the actual venue.

Location of Activities

Most daytime activities are hosted at outdoor activity centres, which are typically not located in urban centres. Events advertised as taking place in or near a specific city or town may involve travel to locations considered within a reasonable distance, generally about 30 miles, though this can vary based on the activity.

Changes and Cancellations by Spartacus Bubble Soccer

Adjustments and Corrections

Occasionally, it may be necessary for us to make adjustments or correct errors on our website and documentation before and after your booking has been confirmed. While we strive to avoid any changes, the dynamic nature of our services and those provided by our suppliers may necessitate such modifications.

Supplier Changes

Most changes made by our suppliers are minor, such as adjustments to the timing or location of an activity without altering the activity itself. However, in rare instances, significant changes or cancellations may occur due to unforeseen circumstances.

Emergency Provisions

We reserve the right to cancel or reschedule activities in the event of emergencies or other unforeseen situations that are beyond our control. These may include severe weather conditions, natural disasters, strikes, or governmental lockdowns. Under such circumstances, we may not be able to provide refunds for deposits or other incurred costs. Instead, we will offer a voucher credit equivalent to your deposit, valid for at least 12 months.

Changes and Cancellations by You

If you need to modify your booking, we will do our best to accommodate your request, although we cannot guarantee that all changes can be fulfilled. Any amendments may be subject to additional fees to cover extra costs imposed by us or our suppliers.

Pricing Adjustments

If the number of participants changes, the price of your arrangements may also change accordingly. We will issue a new confirmation reflecting these price adjustments. Full payment for these changes will be required based on the revised pricing structure.

Cancellation Policy

Should you need to cancel your booking, please inform us immediately by phone and follow up in writing. Cancellations must adhere to our terms and conditions:

  • For cancellations made more than 28 days prior to the event, only the deposit is retained.
  • For cancellations made less than 28 days before the event, the total cost of the arrangements is due.

Insurance and Refunds

We strongly recommend that your travel insurance covers the costs of cancellation. Should your insurance cover the reasons for cancellation, you may be eligible to reclaim these costs, minus any applicable excess.

Impact of Cancellations on Pricing

A reduction in the number of paying participants may affect the pricing of your package, possibly leading to adjustments in the overall cost. We will inform you if such changes are necessary.


Any refunds due will be processed to the lead organiser. Please note, we cannot be held responsible for cancellations caused by force majeure events.

Insurance & Disclaimers

Insurance Requirements

We strongly advise that you obtain comprehensive personal insurance to cover your participation in our activities. This insurance should include coverage for cancellations, medical expenses, and repatriation in case of illness or injury. It’s crucial to verify that your insurance policy covers the specific nature of the arranged activities, including any deemed hazardous, as not all policies provide such coverage. If unsure, please consult with your insurer to confirm that you are adequately covered.

Acknowledgment of Risks and Local Disclaimers

Given the nature of extreme activities, you may be required to accept local disclaimers before participating, which may outline potential health risks and the physical nature of the activities. These disclaimers are intended to ensure that all participants are fully aware of the risks involved. If, after reviewing a disclaimer on-site, a participant chooses not to proceed, Spartacus Bubble Soccer (SBS) will refund the cost of that particular activity, provided the participant obtains written confirmation of their decision not to participate from the activity provider.

While SBS strives to provide detailed pre-activity information, the protection provided by any disclaimers will take precedence. SBS will assist with support where possible, but this may be limited to the resources available locally.

Behaviour Policy

When booking with Spartacus Bubble Soccer, you and all members of your party agree to uphold the highest standards of behaviour throughout your arrangements. It is your responsibility to ensure that everyone in your group behaves in a manner that does not cause distress, damage, danger, or annoyance to others, including other clients, our staff, suppliers, and the general public. Anyone deemed by us or any authority figure to be unfit for travel or participation, for any reason, may have their arrangements terminated without the right to any refund, compensation, or coverage of expenses incurred.

Liability for Misconduct:

We are not liable for any misconduct by any participant during any event. You are responsible for any loss or damage caused by you or any member of your party. Immediate reimbursement to the property owner, manager, supplier, or us as an intermediary is required. If costs exceed initial estimates, you will be billed for the difference; if less, the difference will be refunded. Additionally, you will cover any legal costs incurred due to claims related to such incidents. We recommend ensuring your travel insurance covers these potential liabilities.

Compliance with Event Schedules:

All participants must adhere to the scheduled timings of events. Failure to do so may lead to discontinuation or cancellation of the event, without any entitlement to compensation or reimbursement of any related costs.

  • Inform event supervisors or authorities of any equipment or site issues.
  • Dress appropriately as advised by suppliers and adhere to all local laws and requirements.

Substance Policy:

The use of alcohol or drugs before or during an event is strictly prohibited. Such behaviour will lead to immediate cancellation of participation without any refund or compensation.

By booking with us, you acknowledge acceptance of these terms and commit to ensuring all party members comply accordingly. Failure to follow these guidelines not only jeopardises the safety of the event but also risks legal and financial repercussions.

Health Considerations

Participants are expected to assess their physical condition relative to the demands of the activities booked. Some activities may not be suitable for individuals with certain disabilities, illnesses, or infirmities. You must inform us of any existing medical conditions, allergies, or disabilities that could affect your ability to safely participate in the arrangements. If we determine that the chosen activities are not suitable based on your health status and you are not accompanied by someone able to assist you, we reserve the right, in consultation with our suppliers, to cancel your booking. In such cases, cancellation charges may apply.

By booking with us, you acknowledge and accept the inherent risks associated with these activities. It is your responsibility to ensure that you are physically capable of participating without undue risk to your health or well-being.

Health and Safety Requirements

Fitness and Capability

Many of the activities we offer require participants to have a good level of fitness, strength, and endurance. It is crucial that you assess your own physical condition, or that of any member of your group, to ensure suitability for the chosen activities. Please be aware that certain activities may not be suitable for individuals with disabilities, ongoing medical conditions, or significant health issues.

Disclosure of Medical Conditions

If you or any member of your group has a medical condition, allergy, or disability that could affect your ability to safely participate in any of our activities, you must inform us at the time of booking. This allows us to assess the suitability of the planned arrangements and make necessary adjustments. Failure to disclose such information may lead to modifications in your booking, including potential cancellation if we deem the activity unsafe for your situation.

Assistance Requirements

If the nature of your condition requires additional support, you must ensure that you are accompanied by someone capable of providing this support throughout the activity. If, in our judgement, the arrangements are not suitable due to your condition and you lack the necessary support, we reserve the right to cancel your booking. In such cases, cancellation charges may apply as per our suppliers’ policies.

Acceptance of Risk

By booking any of our activities, you acknowledge and accept the inherent risks associated with them. Some of our offerings are inherently dangerous, and by choosing to participate, you agree to assume all associated risks, provided all our safety protocols and guidelines are followed.

It is your responsibility to ensure all participants are informed and adequately prepared for the activities, including understanding the risks involved and agreeing to participate under these conditions.

Our Liability

Scope of Our Services

Our commitment to you is to source and book arrangements through various suppliers. We exercise reasonable skill and care in selecting these suppliers to facilitate your arrangements. However, we are not responsible for the direct provision of the services or for any actions or omissions by these suppliers, their employees, agents, or subcontractors.

Liability for Personal Injury and Death

We do not exclude liability for any personal injuries or death that arise directly from our negligence or the negligence of our employees acting within their employment duties.

Limitations of Liability

We will not be held liable for any injury, illness, death, loss (such as loss of enjoyment), damage, expense, cost, or other claim that arises due to:

Actions or omissions of any member of your party or any person affected.

Actions or omissions of third parties not connected with the provision of your arrangements that were unforeseeable or unavoidable.

Force Majeure events including, but not limited to, natural disasters, severe weather, acts of terrorism, global health crises, governmental actions, or any other events beyond our control.


We are not liable for services not booked through us, such as additional services or facilities provided by your hotel or any excursions purchased independently during your stay. Our liability is strictly limited to those services we have agreed to provide and have confirmed through our booking process.

Legal Compliance and Claims

In assessing whether arrangements have been properly provided, we will consider the laws and regulations of the location where the services were provided. If these arrangements complied with local laws and regulations at the time, they will be deemed to have been properly provided, regardless of how they might compare to UK standards.

Financial Limitations

For claims not involving death or personal injury, our financial liability to you if found at fault is limited to no more than twice the total cost of your booking (excluding insurance premiums and amendment charges). We are not liable for:

Predictable or unforeseen losses at the time of booking.

Losses not caused by any breach on our part or due to the actions of our employees while acting within their employment.

Business Losses

We cannot be held liable for any business losses incurred as a result of disruptions to our services.

Responsibility and Claims

Any issues with the arrangements should be reported immediately to enable us to rectify the situation. Subsequent claims must be substantiated with evidence of non-compliance or fault on our part as per the standards and practices outlined herein.

This clarification of our liability aims to ensure transparency and understanding between all parties involved, fostering trust and confidence in the arrangements facilitated by us.

Weather Conditions

Please note that weather conditions are beyond our control. There is a possibility that weather-dependent activities may be affected by adverse conditions. In such cases, changes or cancellations of your arrangements will still incur the normal fees from suppliers as outlined in our cancellation policy. Although you won’t be eligible for the options described in clause 7 (Changes and Cancellations by Us or the Applicable Supplier), we are committed to assisting you in finding suitable alternative activities or arrangements. However, please be aware that these alternatives may involve additional costs.

Complaints Policy

Immediate Reporting

If you encounter any issues with the arrangements provided, it is crucial to report these concerns immediately to Spartacus Bubble Soccer (SBS) or directly to the service provider (e.g., your hotelier). Prompt communication enables us to address and resolve issues swiftly, preventing any negative impact on your experience. During office hours (Monday to Friday), please contact us at +44 0151 440 2682. For issues outside of these hours, you may use our main office number or any other provided support contact. Additionally, please fill out a report form on location to document the issue formally.

Procedure for Unresolved Issues

Should the problem not be resolved to your satisfaction by the end of your stay, you must formally write to SBS within 7 days of the conclusion of your arrangements. Your correspondence should provide detailed information about the issue, including a written report or assessment, any documentary evidence, your booking reference, the lead organiser’s name, and all other relevant details. We request that this communication be concise and sent via recorded post to ensure it is received and acknowledged.

Mediation and Dispute Resolution

In the event of persistent disputes, we encourage parties to engage in discussion, negotiation, and mediation to seek resolution before escalating to legal proceedings. A 28-day negotiation period is recommended for satisfactory resolution of any disputes before pursuing external representation.

Follow-Up on Payments for Services

If, due to any oversight, you end up paying directly for an activity or entry to a venue which was supposed to be covered by us, please obtain a receipt for the transaction. Submit this receipt to us for reimbursement of those costs.

Liability Limitations

Please note, any acceptance of liability on our part is governed by Clause 14 concerning liabilities. Our responsibility for complaints and claims is contingent upon adherence to the procedures outlined in this policy, and failure to report issues promptly may impact your ability to claim under this agreement.
